Understanding and Utilizing MailChannels Insights

MailChannels is an SMTP relay service used by WebGee that routes all outbound messages through an external SPAM filter. If a message is rejected or bounced, the sender mailbox will receive a bounce message. MailChannels Insights is a feature of this service that provides an intuitive search interface to help users find and understand problematic email deliveries. This guide will walk you through how to use MailChannels Insights.

What is MailChannels Insights?

MailChannels Insights is a powerful tool that provides detailed information on why messages were blocked or failed to deliver. It offers a level of understanding not typically available with other SMTP relay services. With MailChannels Insights, you can:

  • Investigate deliverability issues on your sending domains.
  • Determine why your email was not delivered.
  • Use ResponseAnalytics™ technology to understand how receivers perceive your emails.

This service is available at no additional cost to WebGee customers and empowers users to fix their own email delivery problems, reducing the need for support tickets.

How to Use MailChannels Insights

MailChannels Insights can be enabled when you receive a bounce message via the MailChannels service. For example, you may receive a message similar to the following:

550 5.7.1 [CS] Message blocked. If this is a false positive, please report this to your hosting service provider.

Within these bounce messages will be a link directly to MailChannels, which allows you to report this as a 'false positive'. This self-diagnosis feature allows you to resolve issues with messages incorrectly being reported as SPAM.

When you click the link in the bounce message, you will see options to report the message as 'Not SPAM' or to 'Get MailChannels Insights'. By clicking 'Not SPAM', you are reporting the message directly to MailChannels for their review. If they detect this as a false positive, they will lift the block or provide you with a reason by email as to why the message was blocked.

Clicking 'Get MailChannels Insights' will sign the sender email address up for the Insights service. Once enrolled, the sender email address will receive a notification to their mailbox inviting them to confirm enrolment in MailChannels Insights.

Reading the Insights Log Search Page

The Insights Log Search page provides a personalized view of your delivery logs. You can dig into all of your message delivery logs to find out when messages were delivered or why they weren't delivered. You can search for specific messages to narrow down deliverability issues.

What if My Messages Are Not Being Delivered?

With any outbound SMTP relay, there is the possibility that your genuine messages could get flagged as SPAM. If you have enabled insights and need further clarification on any particular message, you can reach out to MailChannels directly by email at [email protected].

By understanding and effectively using MailChannels Insights, you can gain greater control over your email deliverability and reduce the likelihood of your messages being incorrectly marked as spam.
